3.7 Internal Email Direct Approach Writing Practice

In the last activity, you revised an internal email. In this activity, you will draft an email based on a scenario provided. Remember to consider the audience, purpose, and tone when planning your message as well as organization and format.

Activity: Using the information below, write an email to all sales representatives.

You are the general manager for Anderson Manufacturing Inc. Your company building is divided into two sections. Office buildings are located at the front. The factory floor is located at the back. Normally office employees and clients use the front entrance. However, you are in the process of renovating the reception area, so office employees and clients must use the back entrance and hallway to reach their offices. This has become a problem for two reasons. When some office employees enter the building from the back, they veer off to discuss production progress with employees who are working on machines. This has to be stopped because it is dangerous and disruptive. Some sales reps also veer off when they are escorting potential clients to their offices because the clients are interested in viewing the production process. This too is dangerous and must stop. In your email remind employees to enter the building safely.  Also tell sales representatives to schedule factory tours for potential clients and to ensure that clients will be provided with safety hats and goggles.
