Apply for an OER Grant
The Fanshawe Open Education Grant Program provides curriculum development funding and support from the OER Design Studio to faculty interested in adapting or creating Open Educational Resources (OER). OER can include various resources, such as textbooks, videos, lab manuals, instructor resources, interactive objects, and slide decks. This program supports using OER to benefit teaching and learning by enhancing equal access to learning resources, reducing student costs, and promoting flexibility in teaching.
Eligibility
The OER grant process is open to currently employed faculty (part-time, partial-load, and full-time) with an idea to develop open resources to be used in a Fanshawe College course with the support of their academic manager.
Application Deadlines
Applications must be received by the deadline and approved by the academic manager. Applications will be evaluated based on the criteria found below. Applications will be held to the deadline for equal consideration, and applicants will receive notice of the status of their application two weeks after the application deadline.

Criteria
The following criteria will be considered during the evaluation process:
Feasibility of Timeline and Objectives
Feasibility of timeline and project objectives, including a sustainability plan (updates, etc.).
- Exceeds expectations (3): Clear, detailed, and realistic timeline with well-defined objectives. A strong plan for sustainability, including regular updates and long-term maintenance.
- Meets expectations (2): Adequate timeline with clear objectives. Some consideration for sustainability, though details may be limited.
- Needs Improvement (1): The timeline is vague or unrealistic. Objectives are unclear, and there is little to no plan for sustainability or updates.
Completed Development Plan
- Exceeds expectations (3): Clear, detailed development plan that outlines the structure of the new project and includes resources to be incorporated.
- Meets expectations (2): An adequate development plan with structure, some ideas of resources to be used, and a timeline.
- Needs Improvement (1): The development plan is incomplete.
Impact on Students
Impact on students: number of students and cost savings, availability for underserved or diverse groups, and potential for OER reuse.
- Exceeds expectations (3): High potential impact with significant cost savings, large student reach, strong focus on underserved/diverse groups, and clear potential for OER reuse.
- Meets expectations (2): Moderate impact with reasonable cost savings and student reach. Some attention is paid to underserved/diverse groups and the potential for reuse.
- Needs Improvement (1): Limited or unclear impact on students. Minimal cost savings, narrow student reach, and little consideration for diversity or reuse potential.
Plan for Measuring Project Success
Plan for measuring learners’ experience with the OER and project success.
- Exceeds expectations (3): Comprehensive and clear plan for evaluating both learners’ experiences and overall project success, with specific, measurable outcomes.
- Meets expectations (2): Basic plan for evaluation with some measurable outcomes, though details may be lacking.
- Needs Improvement (1): Little to no clear plan for evaluation. Outcomes are vague or missing, with no method to assess project success or learner experience.
Unserved Subject Area
Subject or disciplinary area (not already served by an existing OER).
- Exceeds expectations (3): Addresses a subject area with little OER coverage, demonstrating a strong need for the resource.
- Meets expectations (2): The subject area has some existing OERs, but the proposal fills a gap or adds significant value.
- Needs Improvement (1): The subject area is already well-served by existing OERs, with minimal added value or differentiation from current resources.
Process
To start the process, please follow the steps listed below.
Reach out to the OER Design Studio at oer@fanshawec.ca to discuss your project and complete the Fanshawe OER Scan Request Form to have an environmental scan prepared of current open resources that will meet your course needs.
Review the environmental scan results and create a Development Plan outlining your plans for your project. The development plan should include how any existing OER from the scan can be adapted.
Draft your grant application using the Microsoft Word application template. Then, submit your draft by copying and pasting it to the online application form to apply for a grant. This form utilizes Microsoft Power Automate, meaning the form will be immediately sent to your Academic Manager for approval. Please speak with your manager before submitting the application form.
Grant Approval
Successful applicants will be notified by email. Recipients will be asked to attend the project’s kick-off training and regular check-in meetings. Recipients may also be invited to participate in events related to open education to help promote the use of OER at Fanshawe.
Please contact your academic manager to confirm your participation in the OER project. Full-time faculty will be granted offload time during the semester of the approved grant. Part-time faculty will be issued a curriculum development contract. The cost of the development time will be charged back to the library. You can reach out to the Director of the Library with further questions.
NOTE: Awarded grants cannot be deferred once approved. Applicants must re-apply through the process above, indicating the requested new period.
