6 Chapter 6

In this chapter we will continue to look at some of the main functions of Microsoft Excel. If you have not yet read Chapter 5, it is vital that you go back and read it before you continue in this chapter.

  • Insert and delete columns and rows
    1. Open a new Excel Workbook
    2. Type Monday in Cell A1 and use the fill handle to drag all the days of the week to Sunday
    3. In Cell A2 through G2 type hours that you have worked every day that week
    4. You want to keep track of more than one week in this spreadsheet and you want to label the weeks – click Cell A1
    5. In the Cells grouping of the Home tab find Insert: insert button and click the dropdown arrow
    6. Choose Insert Columns
    7. This will move all of the days over 1 column and leave column A blank
    8. In cell A2 type Week 1
    9. In cell A3 Type Week 2, and put in hours for each day of the week in cell A2
  • Move and copy cells
    1. You’ve decided that you want Sunday listed as the first day of the week
    2. Click cell B1, find Insert, and Insert Columns
    3. Column B is now blank
    4. Click on cell I1 and hold the shift button down and click the down arrow.
    5. You should now have I1 and I2 selected
    6. Hover over the box lines that surround the cells (not the fill handle box) – you’ll know you are hovering correctly when the cursor becomes a directional arrow with 4 arrows pointing up, down, left, and right
    7. Click and Hold
    8. Drag the cells to B1 and let go
    9. Sunday is now the first day of the week!
  • Adjust widths and row heights
    1. You notice that you can’t see the entire word Wednesday
    2. Double click on the column line between cells E and F: Column Line
    3. This will auto size the columns so that the entire day of the week appears – whenever you have data that you can’t see double click the line between the columns or rows to expand the width or height
  • Apply numeric formats
    1. In cell K1 type 16.25 as your rate of pay. Do not add the $ sign, just type 16.25
    2. With K1 selected, find the Number grouping in the Home tab
    3. Where it says ‘General’ choose the dropdown arrow and look for Currency
    4. Notice that there are a lot of different numeric formats in the dropdown that you can apply, depending on what type of data is listed in the cell
  • Apply cell styles
    1. With K1 selected, find the Styles grouping in the Home tab
    2. Click the Cell Styles button cell styles
    3. Choose the Input style (or whatever style you prefer)
  • Apply a theme
    1. Click the Page Layout tab
    2. Look for the Themes grouping
    3. Click the Themes button: themes button
    4. Choose Banded
    5. Notice the entire sheet style changes!
