The Plan
A. Plan Introduction
- The 5 W’s of your school trip – in brief; give it a name and subtitle.
- Particularly where and when (locations are key); the first title slide will have the map link for emergency services.
- Site location website or information available
- Communication numbers – leaders/providers
B. Curricular Links
- Particularly why we are going – justification
- A couple of document links will help – be brief.
- The activities linked to curriculum – list with bullet points
C. Initial Assessment, Acknowledgement of Risk & Emergency Planning
- Identification of inherent or real risk and potential risks on site. Photos will complement
- Initial general safety guidelines – for participant planning and trip visit
- Notes on supervision – links to forms reference
- References – OPHEA or other safety guidelines (private or public); specific ID to a form(s)
- Any references to participant attire and gear (these may be pending needs) Could be a specific guideline(s), (i.e. no open toed shoes)
- The majority of slides will be here
- Include an emergency plan if something happens en route or at the site; communication protocols with students and school. (Mild versus more severe injuries.)
- “Mustering area” – meeting at the destination (communication protocol).
- Lost person protocol.
D. Photos
- These provide a context and perspective for the other components of the overview
- Significant areas – drop off/pick up, mustering areas, trail heads, accommodation, seasonality theme, potential risk “alert” snapshots

E. Maps
- Maps are important “to place” – safety wise – coordinates and information.
- Create fixed scale maps – screen shots of important areas – add the pushpins for anecdote
- Use Google ‘My Maps’ to create a link (there is a ground and satellite view(s); the link is a good way to share with audiences. This to be on the first title slide for emergency services reference.
F. Transportation
- *Often the most critical area of any trip… who and where/when…name of transportation, all contact information. Name of contact – phone number and email address
- Transportation Plan – pick up point and time, route information including estimated time of arrival at excursion site, pick up time at excursion site and estimated return time and location (confirm if returning to same place as pick up); any vetting information.
- Any particular notes…the maps slide(s) will complement the trip’s schedule
- Travel route map(s)
G. Schedule, Forms & Action Plan
- This is a beginning “draft” of the school trip – times and places. For administration and parents; sent right away and updated for sequential distribution. This is the “engagement” and “buy in” phase.
- Existing forms will cover other details
- Reference and acknowledgement of an
- “emergency action plan, (minor/mild and major)”
H. Summary of Next Steps
- Contact information for all involved
- Identify the next steps in making the trip a reality
- (Mandatory forms – risk and supervision details to follow this package)
- Location, dates and times, attendees, supervisors, a brief description

- Contact information (a leader(s) head and shoulder shot is value added.
