Attendance
All students must meet the attendance requirements of their Field Placement and submit their hours on a weekly basis for review by their mentor and Field Placement Specialist.
It is important that students are following the attendance procedures set out by the college. Students who do not meet these requirements will not be successful on placement.
Shift Times
Students are to attend field placement for the same shift duration as staff working at the placement site (as if they were also employees). They are to also take the same length of lunch as staff. Students cannot shorten their lunch in order to leave earlier.
If you are in a Before and After School program (school age) you are required to work a split shift and the hours are different from a full day program.
Maximum Daily Hours
The maximum hours that a student can attend placement per day is 8 hours (including lunch).
Change in Schedule
Any change in schedule must be approved by the student’s Field Placement Specialist and an agreement put into place noting the change. While we work to best support students keeping in mind the placement requirements, not all requests can be accommodated.
Professional Activity Days
Students are required to attend Field Placement on professional activity days. If students are not permitted to attend professional activity days they are required to make up this time and inform their Field Placement Specialist.
Before and After School Programs: Students are required to attend for a full day if the site offers a PA Day Program (which is typically 8 hours including lunch) or they can attend an alternative site if approved by their Field Placement Mentor and Field Placement Specialist.
March Break
- they are placed in a Before & After School program and they are closed for March Break
- they are placed in a Kindergarten program and the school is closed for March Break
Statutory Holidays
When a regularly scheduled Field Placement day falls on a statutory holiday, students are not required to make up this day. This holiday will count as one of the required days of Field Placement and is to be recorded on the weekly attendance as such.
Snow Days
Inclement weather can impact Field Placement attendance. If the college is officially closed due to poor weather conditions, students are not required to make up the Field Placement hours. Alternatively, if the Field Placement site closes and the college does not, the students are not required to make up the time.
The total number of days a student can miss placement without having to make up time due to the inclement weather closures is 3 days. If closures due to inclement weather exceed 3 days within the same field placement, students will be required to make up the missed time.
For information regarding campus closure, call the SNOW NUMBER 905-575-2444.
Reporting Absences
In the event of any absences due to illness, students are required to follow the information on their Commitment of Practice Contract to report their absence prior to their shift start time.
Weekly Online Attendance
Students are to submit their attendance on a weekly basis (every Sunday by midnight) using the online attendance link. Mentors (or designates) and students will receive a copy of the student’s attendance upon submission as well as their Field Placement Specialist.
The attendance report includes:
- shift times for days attended
- total hours per day
- total hours for the week
- reasons for any absences
Instructions in Completing Weekly Attendance
Remember to refer to your Commitment of Practice Contract for the site email address to include on your attendance!
- The attendance needs to match the total number of hours you attended Field Placement for the week.
- Make sure the dates chosen match the week of attendance you are submitting.
- Your lunch in included in the total hours (i.e. 8am to 4pm = 8 hours)
- This is a mandatory requirement of your Field Placement and must be completed each week.
Absences
- If you miss ANY time from Field Placement (based on your individual schedules) you are still required to include this information in your Weekly Attendance and indicate your reason for not attending. Record the word ‘Absent’ for your shift, and then ‘0’ for your hours if you miss a full day.
- You are responsible for communicating with your Field Placement Specialist to make arrangements to make up any hours missed.
