Grading and Transcripts Policy
Program Promotion and Graduation Requirements Policy
Grades can be accessed via MyMohawk, Academics tab, Final Grades channel.
Promotion from one level/semester to the next will be determined according to departmental requirements and procedures. Please refer to individual program promotion requirements.
As of Fall 2004, courses graded will be recorded on student transcripts in percentages, along with the credit value of each individual course. In addition to percentage grades, the following designations may also be used on student transcripts.
AC – Attendance Complete / AN – Attendance Not Met
These designations are provided for non-credit courses for which attendance is the only measure of successful completion.
AU – Audit Student
Students may request to audit courses provided vacancies exist in the class, and they have received written approval from the Associate Dean, or designate. Such requests must be made and a decision conveyed by the Associate Dean prior to registration. Audit students will not be required to submit assignments or write tests and examinations. A credit will not be granted and the designation of “AU” will be assigned by the instructor at the end of the course. Regular course fees, as stated in College publications, will apply.
CR – Credit Granted / Credit for Prior Learning Assessment
Academic credit may be granted to a student who can verify that learning acquired through life and work experience is applicable to a College-level program, or specific courses, and has the appropriate balance of theory and practice.
Note:
- Students requesting an assessment of prior learning are required to pay the appropriate assessment fee.
- Students will not receive a refund if credit is denied.
- Students must register in these courses and will receive the designation “CR”, or an actual grade on their transcript, as determined by the department awarding credit.
E – Exemption or Transfer Credit
Exemptions from a course will be granted by the Associate Dean or designate if the student can show successful completion of work of at least the same level and scope as defined by the course’s learning outcomes. Normally, these will be courses from another post-secondary institution but may also apply to some courses taken at Mohawk. Exemptions are not required for Mohawk course equivalencies. Further information on exemptions and an online exemption application process are available in the Student tab on MyMohawk.
I – Incomplete
This designation may be assigned when the student has not completed the requirements defined in the course outline due to extenuating circumstances and the student can be expected to clear the deficiency within a six-week period, as determined by the faculty member.
R / FL – Requirements Met / Requirements Not Met
These designations are used for courses in which student learning is evaluated against course objectives, but where it would be inappropriate to record a percentage grade. Students who successfully complete such a course receive “R” rather than a grade; those who are unsuccessful receive “FL”.
UW – Unofficial Withdrawal
This designation is assigned to a student who registers in a course and has not officially withdrawn from a course, but either fails to commence the course or who attends only the initial session(s).
W – Official Withdrawal
This designation is used for students who drop a course within the time frame designated for withdrawals.
CHC
GRADING OF SERVICE LEARNING COURSE (WORK 10625)
A course grade is assigned at the end of the Service Learning course (WORK 10625). Faculty assess the student CHC placement through submissions and assessment of assignments, and completion of required hours (70 hrs.). Full attendance is required in order to achieve “R – Requirements Met”. Objectives in the CHC service learning placement course must be satisfactorily met and maintained for graduation. If the student is not prepared to safely carry out the field placement, the faculty member will withdraw the student from the area and direct him/her to the appropriate resources for completing the preparation. Students are expected to conduct themselves in a professional manner as outlined in placement course modules.
The grade code for the course will be assigned by the faculty member(s) according to the following criteria:

PROMOTION
Promotion from one level/semester to the next will be determined according to college policies.
A course grade is assigned upon completion of each course. At the end of each semester, all student grades are reviewed at the department promotion meeting. Students will be advised regarding promotion decisions by the Associate Dean or designate in writing via email only if they have not successfully been promoted.

Promotion with Good Standing
Students will be allowed to progress from one semester to the next with attainment of a minimum Weighted GPA greater than or equal to 60% (semester promotion grade) with no failures . Course registration is subject to course prerequisites.
Promotion with Advice
This situation applies to students who achieve a Weighted GPA greater than or equal to 50%, with no more than one failure. Provided that prerequisites are met, students in this situation may continue into the next term, but are strongly encouraged to seek academic advice from a Program Coordinator, Students Success Advisor and/or Counselor to help them enhance their academic performance. Students need to recognize that one failure has the potential to compromise progression from one semester to the next, and successive occurrences may prohibit the student from achieving graduation status within the timelines prescribed by the POS.
Students may not repeat any course or semester more than once and will be subjected to ‘compulsory withdrawal’ in such an event.
Students in this category who have identified with Accessible Learning Services and have a Confidential Academic Accommodation Plan are strongly encouraged meet with their Accessible Learning Services Case Manager.
Probation
Students who achieve a Weighted GPA greater than or equal to 50% with more than one failure, will not be promoted. These students may be allowed to progress to the next term with special authorization through the mandatory academic advisement process. Students in this category must meet with a Program Coordinator or Student Success Advisor to discuss their academic future. Referral to a Counselor may follow, if appropriate.
Students need to recognize that having one or more failures has the potential to compromise progression from one semester to the next, and successive occurrences may prohibit the student from achieving graduation status within the timelines prescribed by the POS. To graduate, one must complete the program requirements within 4 years of starting the program.
Students may not repeat any course or semester more than once and will be subjected to ‘compulsory withdrawal’ in such an event.
Students in this category who have identified with Accessible Learning Services and have a Confidential Academic Accommodation Plan must meet with their Accessible Learning Services Case Manager.

Compulsory Withdrawal
Students with a Weighted GPA less than 50% will be required to leave the program. It is strongly recommended that students in this situation seek advisement to explore opportunities for continuing study at the College.
Students may not repeat any course or semester more than once and will be subjected to ‘compulsory withdrawal’ in such an event.
Graduation
An overall minimum Weighted GPA of 60% is required to graduate. Where courses have been repeated, the highest course mark will be used in the calculation.
Timelines for Graduation
A student may have a maximum two year absence from the program and on return to the program, the student is required to successfully challenge the prerequisite skills competencies prior to entry into a Clinical semester or Skills course.
Advanced Standing
A student who was required to withdraw from the program may apply to re-enter the program on an “advanced standing” basis.
- A student may be accepted only once for Advanced Standing into the program.
- Advanced Standing will only be considered for direct entry into the second and subsequent semesters of the program.
The decision to grant Advanced Standing to a student will be at the discretion of the program. The number of Advanced Standing students that can be accommodated in any given academic semester will be based on the projected clinical and laboratory availability.

Repeating Courses
Students may not repeat any course or semester more than once and will be subjected to ‘compulsory withdrawal’ in such an event .

Course Requirements
The Cardiovascular Technology (CVT) Program has been granted a program exception to the Mohawk College policy: https://www.mohawkcollege.ca/about-mohawk/leadership-and-administration/policies-and-procedures/corporate-policies-and/program-3.
Therefore we will be applying the promotion categories as follows:
- 60% is required for exception courses.
- The Skills courses are R (Requirements Met) or FL (Requirements Not Met).
- Specific to CVT – 50% is required in the following courses:

MT
Massage Therapy Program Promotion Requirements
- In order to ensure client safety, students must meet the program’s academic requirements before they are allowed to participate in clinics and outreaches.
- Students are permitted to re-take courses in which they were not successful a maximum of three times.
- For courses with lab/practical components, oral practical exams must be completed. Failure to complete practical exams will result in a mark of incomplete or course failure on your transcript.
- If students are permitted back into the program following a compulsory withdrawal, they will not be permitted to progress to the next semester until they successfully complete the failed courses.
Semester Promotion
Promotion with Good Standing
Students will be allowed to progress from one semester to the next with a minimum Weighted Grade Point Average (GPA) greater than or equal to 60% (semester promotion grade) with no failures and no grades below 60%. Course registration is subject to course prerequisites.
Promotion with Advice
This status is applicable if a student’s GPA is between 60 and 70%. It may also be applicable to students who have failed one course.
Provided that prerequisites are met, students in this situation may continue into the next term, but are strongly encouraged to seek academic advice from a Program Coordinator, Student Success Advisor and/or Counsellor to help enhance their academic performance. Students need to recognize that a single failure has the potential to compromise progression from one semester to the next, and successive failures may prevent a student from achieving graduation status within the timelines prescribed by the POS.
Students in this category who have identified with Accessible Learning Services and have a Confidential Academic Accommodation Plan are strongly encouraged to meet with their Accessible Learning Services Case Manager.

Compulsory Withdrawal
This status is applicable to students with a Weighted GPA less than 50% who fail more than two courses. They will be required to leave the program. It is strongly recommended that students in this situation seek advisement to explore opportunities for continuing study at the College.
Graduation
An overall minimum Weighted GPA of 70% and completion of 350 hours of supervised professional practice are required to graduate and become eligible to write the CMTO certification exams. If a course has been repeated, the highest course mark will be used to calculate the GPA.
OTA/PTA
EVALUATION/GRADING/PROMOTION
Each course outline will contain the evaluation criteria for that particular course. The final grade for a course will be entered as a percentage grade or as requirements met. Details regarding evaluation criteria for each course are contained in the individual course learning plan.
Courses may require a minimum standard in specific components of a course to achieve an overall passing grade. If a specific component is failed, that failing grade will be recorded as the final course grade.
Most courses in this Program require a minimum passing grade of 50% (or Requirements Met) and a semester GPA of 60% to obtain promotion standing. HSCI 10171 and INFO 10288 require a minimum passing grade of 60%.
A student may have a maximum two year absence from the program and on return to the program; the student is required to successfully challenge the prerequisite skills competencies prior to entry into a Clinical semester or Skills course.
Promotion Meetings
During the academic semester, the composition of the promotion committee shall consist of the Associate Dean of Allied Health, the OTA and PTA diploma program coordinator, the Student Success Advisor, and the program support staff. All full-time faculty in the program will be invited to the promotion meeting, and all part-faculty will be represented by the program coordinator. Additional resource personnel may consist of a counselor and a representative from Accessibility Learning Services. During the Promotion Meetings, each student’s academic performance is reviewed and promotion status is determined based on the College’s Program Promotion and Graduation Requirements Policy (#AC700).
Semester Promotion

PHARM TECH
GRADING OF PLACEMENT COURSES (10103, PM991, PM993)
A course grade is assigned at the end of the Placement course. Faculty assess student pharmacy technician practice, including assessment of skills. Full attendance is required in order to achieve “R – Requirements Met”. Objectives in pharmacy technician placement courses must be satisfactorily met and maintained for graduation. If the student is not prepared to safely carry out the placement, the faculty member will withdraw the student from the site and direct them to the appropriate resources for completing the preparation. Students are expected to conduct themselves in a professional manner as outlined in placement course modules and is based on the Regulated Health Professions Act.
The grade code for the placement courses will be assigned by the faculty member(s) according to the following criteria:

Students will be allowed to progress from one semester to the next with attainment of a minimum Weighted GPA greater than or equal to 60% (semester promotion grade) with no failures and no grades below 60% in exception courses*. Course registration is subject to course prerequisites.
*Exception courses are those that have a different passing grade than the college passing grade. In the Pharmacy Technician program, these include pharmacy and health related courses.
Promotion with Advice
This situation applies to students who achieve a Weighted GPA greater than or equal to 50%, with no more than one failure. Provided that prerequisites are met, students in this situation may continue into the next term, but are strongly encouraged to seek academic advice from a Program Coordinator, Students Success Advisor and/or Counselor to help them enhance their academic performance. A student may be accepted only once for Advanced Standing into the program.
Advanced Standing will only be considered for direct entry into the second and subsequent semesters of the program.
The decision to grant Advanced Standing to a student will be at the discretion of the program. The number of Advanced Standing students that can be accommodated in any given academic semester will be based on the projected clinical placement and laboratory availability.

Repeating Courses
Students may not repeat any course or semester more than once and will be subjected to ‘compulsory withdrawal’ in such an event.
